POSITION SUMMARY

USA Lacrosse is looking for a Coordinator, National Teams Development Program to join our team.  This critical role will provide administrative, logistical, and operational support for the National Teams Development Programs.  Working closely with the SR Manager, National Teams Development Program, you will coordinate and manage travel logistics for players, coaches, and staff, provide special event support, and work on special projects and initiatives to support to the program.  You will get to work collaboratively with our events, facilities, operations, communications, partnerships, and foundation teams to ensure all areas are coordinated and aware of scheduled events to ensure needs associated with the program are met for a successful event.

A Typical Day Looks Like…

Operations & Administrative Support

  • Provides administrative, logistical, and operational support to assist the National Teams Development Program, including, but not limited to, responding to National Teams Development Program department inquiries for information via phone and email.  This includes involving others and escalating matters as appropriate, working with other internal departments to respond to inquiries/issues, handling inbound and outbound mailings, and following up as necessary for resolution.    
  • Responsible for inventorying, maintaining, and organizing player and coach gear and equipment needs for events.  This includes collection and organization of size needs. 
  • Helps maintain the National Teams Development Program department calendar, schedules meeting, handles logistics and related arrangements (i.e., venue selection, menu preparation, food ordering, etc.), and assists with event planning.
  • Oversees and manages online processes for all National Teams Development Program event and clinic registrations, processes payments, creates and formats documents, coordinates NTDP event mailings, and completes other related projects.
  • Coordinates post-event surveys and collection of data so the National Teams Development Program department can evaluate events and make data-driven business decisions. 
  • Assists in the design, communication, and rollout/implementation of National Teams Development Program policies, activities, and events.  This includes maintaining and writing SOPs as necessary. 

Event Coordination & Logistics Planning

  • Coordinates all National Teams Development Program coach, player, and staff travel working with USAL travel agency and related partners.
  • Coordinates ordering for all player/coach/staff meals and ensures areas are cleaned after each meal. 
  • Assists in preparation and organization of event itineraries, ensuring everyone is communicated with in a timely manner.
  • Provides onsite event management, including overnight support at the hotel during multi-day events.  This includes troubleshooting to ensure the event runs smoothly and any problems and/or issues are resolved or escalated to the appropriate parties. 

 

Is This You…

  • One (1) to three (3) years of administrative or operations experience in event planning and/or sports operations/management. 
  • Previous lacrosse experience and/or knowledge of the sport and/or knowledge and understanding of team sports preferred.  Knowledge and/or experience working for a non-profit a plus. 
  • Intermediate computer skills, including working knowledge of Microsoft 365 products, including Teams, Outlook, Word, Excel, and PowerPoint.  Knowledge of Google Docs and Salesforce a plus and/or the aptitude to learn new programs and applications.  
  • Strong organizational skills, attention to detail, follow up/through skills, and ability to meet deadlines.
  • Excellent communication skills, including written, verbal, and interpersonal.
  • Ability to exercise the appropriate level of discretion and judgment with the capability to maintain confidentiality of sensitive and proprietary information and materials.  
  • Enthusiastic go-getter with a "roll up your sleeves" and "get it done" attitude. 
  • Ability to work both independently and as part of a collaborative team in a fast-paced, dynamic environment with ability to pivot with changing priorities. 
  • Comfortable guiding others and giving directions in an event setting. 
  • Ability to be flexible with work schedule, including availability to work nights and weekends based on event needs.  This will include some overnight travel for National Teams events.       
  • Willingness to learn about the sport of lacrosse and appreciate the need to develop, grow, and fuel the growth of the sport with diversity, equity, and inclusion in mind.
  • Ability to align with USA Lacrosse's Mission, Vision, and Values to support our initiatives and organizational goals.  

 

Expected Hours of Work

This position is generally expected to work Monday through Friday from 8:30am to 5:00pm and occasionally requires longer hours or weekend work as related to events and other business needs.  This is a hybrid position and works from the headquarters office in Sparks, MD three (3) days a week with the flexibility to work from home two (2) days a week. 

 

Compensation & Benefits Overview

The hourly base compensation range is $18 to $20 per hour commensurate with experience with potential for annual incentive pay based on meeting organizational and individual performance goals.

Travel Requirements

Travel will be necessary up to 25% of the time. Travel would involve the following mode(s) of travel: car, train, or air.  Some out of area and overnight travel may be expected.
